B2B email campaigns for launches, events and re-engagement

A campaign is a bounded set of three to six emails with one goal, one audience segment and an end date. Sawa plans the segment, writes the emails, sets the stop rules, sends from your platform and handles the follow-up when someone replies. The four campaigns we run
- A product or feature launch. Three to six emails over two to four weeks to the segment the launch applies to, with a stop rule for anyone who acts. The launch template shows the shape.
- An event or dinner invitation. Invitation, reminder and follow-up to a list built for the event, often with LinkedIn outreach running alongside. Measured in registrations and seats filled.
- A re-engagement run. A short sequence to subscribers who have gone quiet, ending with a clear choice to stay or go, so the list stays people who want to hear from you.

An example from recent work
A technology services company was hosting an off-the-record dinner for senior technology leaders and wanted eight guests. Working with Chameleon Collective, who had less than a month, we mapped the network for introductions (roughly 30 target buyers with a path through someone they knew), wrote personalised LinkedIn invitations around the dinner's subject, and narrowed the outreach from industrial businesses to ecommerce leaders when the first wave underperformed.
The refined wave reached 520 people, with a 17% connection acceptance rate and a 6% reply rate. The campaign brought in nearly 15 signups for an eight-seat dinner. A reply is not a seat, and we do not have a confirmed attendance count; the case study states both limits.
How a campaign runs
- One goal, one segment. We agree what counts as success (registrations, replies, upgrades) and who the campaign is for. Everyone else is suppressed, so the send is smaller and the replies are from the right people.
- The emails and the stop rules. Each email has one job. Anyone who registers, replies or books leaves the sequence that moment. Nobody who already acted gets the reminder.
- Sent from your platform. The sequence is built in your email platform or CRM, under your sender, with your unsubscribe and postal address on every message.
- Follow-up by a person. When someone replies, a person answers. For events, that is the difference between a registration and a seat.
- A short report at the end. What went out, to whom, who replied, who booked, and what to change next time. Opens are listed separately.
What it is not
Cold email to purchased lists. We write to people who opted in to your list or who are a named, researched fit for an invitation. That keeps your sending domain clean and keeps the replies worth reading.
Questions people ask before they book
How many emails does a launch need?
Three to six over two to four weeks is the practical range. Fewer than three and most people never see the message once. More than six and you are repeating yourself to people who already decided. The exact count depends on how long the decision takes.
Can you run the campaign in our CRM?
Yes. HubSpot, Beehiiv, Kit, Mailchimp and similar platforms all support the sequences and the stop rules a campaign needs. We build inside whichever one you already have.
Do you run LinkedIn outreach as well as email?
For event and dinner invitations, often yes, because the invitation list is built from named people rather than subscribers. The LinkedIn side is personalised and sent from a partner's account, as in the dinner example above.
